Customer *** received a batch of 12,000 sports bras (including styles: hollow-out sports bra, color-block sports bra, cross-back strap sports bra, mesh breathable sports bra, layered design sports bra) on 2026-04-12. During the warehouse inspection, it was found that approximately 1,380 pieces had quality issues, mainly including: loose threads at strap seams, deformation of the cup due to misalignment of the support pad, loose fibers/holes in some areas of the mesh fabric, color difference in color-block stitching exceeding the contract tolerance, and individual size labeling errors (labeled S but actually measured as M). The customer requests a return or exchange according to the contract terms and compensation for the resulting storage and inspection costs.
After receiving a customer complaint, we initiated the quality verification process within 24 hours: 1) Request the customer to take photos of the problematic samples and provide batch codes and delivery notes (the customer has replaced specific information with ***); 2) We dispatched a third-party inspection agency within 48 hours to conduct random re-inspection of the remaining goods and shared the inspection report with the customer; 3) The verification results confirmed a defect rate of 11.5% for the same batch (similar to the customer's initial report). According to the trade contract and quality agreement signed by both parties, we propose three optional solutions for the customer: A. Unconditional free replacement of all 1,380 confirmed defective items (to be completed within 45 days), covering round-trip logistics and third-party inspection costs; B. The customer retains the goods, and we refund 40% of the contract unit price for the defective items, covering inspection and part of the storage costs; C. For minor defects (as determined by the third party), we provide an equivalent credit amount for order deductions within the next 6 months, and bear the inspection costs. To expedite resolution, we also propose a proactive measure: on-site repair for the remaining 10,620 items through batch reinforcement stitching or replacement of vulnerable parts (to be arranged by our factory with overtime after customer approval) to reduce the overall return/exchange quantity and delivery delay.
After consultation with us, the customer *** accepted the combination of Plan A and Plan C on 2026-04-20: unconditional replacement for 980 items with serious structural quality issues, with us completing reissuance within 35 days; for the remaining 400 items with minor defects, the customer accepted our offer of equivalent credit for future order deductions. Both parties signed a supplementary agreement on return and exchange details, confirming that we bear all round-trip logistics, third-party inspection costs, and reasonable storage costs incurred. To prevent recurrence, we implemented the following improvement measures on the involved production line and provided a report to the customer: 1) Strengthened quality inspection points in the sewing process, increasing the proportion of factory spot checks; 2) Replaced and inspected key auxiliary material supplier batches; 3) Conducted specialized training for operators and introduced first/last piece inspection photo documentation. Follow-up shows that the customer, using our provided credit, placed a new order on 2026-05-18, which was fulfilled normally. The customer recognized our rapid response and remedial measures, maintaining a long-term cooperative relationship.
