Case Of Return And Exchange For Eu Export Orders Of Chenille Yarn With Large Color Difference And Broken Yarn
Problem description
The customer (***) ordered a total of 20 tons of chenille yarn, item number XN-302, through the B2B platform, shipped in 5 40HQ containers to a Polish port. After arrival, the customer opened and spot-checked the goods and found: 3 batches had obvious shade differences, with color difference ΔE exceeding 3.5 within the same batch number, and some yarns experienced frequent breakage during unwinding, with weaving stoppage rates exceeding 25%. The customer immediately raised a quality complaint and requested a full replacement of the entire batch, involving an amount of approximately USD 680,000.
Solutions
Our company immediately arranged for quality engineers to conduct remote video inspections and commissioned a third-party inspection agency, SGS, to issue an inspection report, confirming that the color difference and strength issues were genuine. Subsequently, we negotiated with the customer and reached the following resolution plan: ① All 12 tons of yarn with color difference and broken yarn issues that had been unpacked will be returned, with our company bearing the sea freight and insurance costs for the return shipment; ② The remaining 8 tons of yarn that passed inspection will be compensated with a 15% discount on the original contract price for the customer to continue using; ③ Our company expedited the allocation of 10 tons of same-specification inventory and air-freighted it to the customer's designated warehouse to prioritize their production orders; ④ We will modify the subsequent production formula, adjusting the dyeing vat capacity from 200kg to 150kg, and add a fully automatic electronic slitting inspection process to avoid batch color differences in the future; ⑤ The refund for the returned goods will be fully paid within 30 days of receiving the returns, and we will pay the customer $32,000 in partial compensation for losses caused by the production stoppage.
Processing result
The customer accepted this solution. The 12 tons of problematic yarn were returned to our domestic factory, and after re-inspection, all were downgraded for use in low-end domestic product lines. The 10 tons of air-freighted replenishment arrived at the customer's factory within 10 days, and production returned to normal. The customer recognized the timeliness of handling and the compensation level, and subsequently placed an additional order for 8 tons of half-boucle yarn. As a result, our company also established stricter pre-inspection for batch color difference and an online yarn strength monitoring system, reducing the batch quality incident rate by 90%.
