Case Of Large-scale Return And Exchange Of Embroidered Fabric From European Brand Customers Due To Colorfastness Failure
A Spanish customer (purchaser name masked) ordered a batch of mesh embroidered garment fabric, totaling 35,000 meters, with a value of approximately USD 128,000. After the goods were shipped, the customer discovered severe color bleeding in the dark embroidery threads (black, dark blue) during garment washing tests, which stained the light-colored mesh base fabric, rendering the finished garments completely unusable. The customer reported that in the third round of washing after sewing, the colorfastness rating of the embroidered areas was only level 2, far below the contractually required level 4. The customer filed a quality complaint, demanding a full return and replacement, as well as compensation for the processing losses already incurred.
Our company immediately activated the customer complaint emergency response mechanism: 1) Arrange for the quality inspection team to retrieve retained samples of this batch within 48 hours for re-inspection, confirming that the embroidery thread color fastness failure was caused by deviations in the dyeing process parameters of the polyester embroidery thread purchased for this batch, which is a supply chain control issue on our part. 2) Communicate with the customer to confirm the return/exchange plan: all 35,000 meters of fabric from this batch will be returned, and we will bear the full international freight, customs declaration fees, and insurance costs for both the return and re-shipment. 3) Reorganize production: replace the embroidery thread supplier, and add double color fastness testing and simulated garment washing tests to ensure every roll of fabric passes acceptance. 4) To reduce the customer's downtime losses, urgently air-ship 8,000 meters of similar substitute fabric to the customer's port in advance for trial production. 5) Compensate the customer for processing fees, auxiliary material losses, and delivery delay penalties caused by this quality issue, totaling USD 23,000.
All 35,000 meters of defective fabric from this batch were returned. Our company completed re-production and delivered qualified fabric within 45 days.
