Buyer company ***, upon receiving our bulk order (model: SM-2025, quantity: 5,000 pairs), found during inspection that about 7% of the sunglass lenses have obvious scratches, partial coating detachment, or slight bubbling, affecting the appearance and function of the finished products. The buyer demands full replacement or return. Deductions and delivery timing to downstream customers place pressure on the buyer, and the buyer states that if we cannot complete the replacements within 15 days, they will claim compensation from us and suspend subsequent large orders.
1) Immediately confirm with the buyer the specific defect rate for the affected batch, defective product photos, and the sampling inspection report, and require the buyer to retain one batch of defective samples (at least 100 pairs) for subsequent joint determination. 2) We will initiate internal traceability and QC inspection to determine responsibility: judged to be caused by abnormal coating process during production (our responsibility). 3) Propose remedial options for the buyer to choose: A. Upon receipt of defective samples, we will arrange air shipment of replacement conforming products of equal quantity (5,000 pairs) within 3 working days and bear all freight and expedited costs; at the same time we will recover and repair the defective products free of charge or scrap them; B. If the buyer accepts partial replacement, priority will be given to ship downstream urgent delivery batches (according to the delivery priority provided by the buyer), and the remaining replacements will be completed within 30 days; and a price discount of 5% per unit for the defective quantity will be granted as compensation; C. If the buyer requests return, we will bear the return shipping and inspection costs, and unconditionally refund the payment within 15 working days after confirmation of the return and bear the corresponding duties and handling fees. 4) Both parties will sign a written after-sales handling confirmation specifying time nodes, responsibilities and compensation standards; we will also provide improvement measures: change coating supplier/adjust process parameters, strengthen 100% rapid inspection of lens coatings before shipment, and increase the random sampling ratio to 2% of the shipment batch.
Buyer *** agreed to handle by combining Plan A with Part B: upon our receipt of confirmation, we will complete expedited production within 2 working days and air-ship 5,000 pairs of qualified products to the designated warehouse on the 5th working day; at the same time, logistics will collect 500 representative defective samples for testing and claim settlement. After all replacement products arrive and pass the buyer’s on-site reinspection, the buyer will lift the suspension of our orders and commit to resume three subsequent batches totaling 20,000 pairs of large purchases. To build long-term trust, we will return to the buyer a compensation equal to 3% of the payment corresponding to the defect rate (higher than the original proposal), and implement a new QC process and monthly quality reports in subsequent orders. With both parties’ communication and rapid response, this resolution avoided contract termination and major claims, repaired the customer relationship, and expanded subsequent cooperation scale.
