The customer *** received a batch of educational assembly puzzle toys after shipment (order number ***, quantity: 12,000 sets) and reported quality issues such as paint peeling, deformed parts, and broken clips. Returned samples for inspection showed the problems were concentrated in the same production batch (batch number ***), and preliminary judgment indicates they were caused by mold wear and poor control of the painting/coating process. The customer requests either a full order replacement or an equivalent replenishment, and demands compensation for storage and shipping delays caused by this issue.
1) Maintain daily communication with the customer to confirm the quantity affected and defective samples; both parties sign a problem confirmation form (sensitive information redacted before filing). 2) We will recall the stored inventory from the affected batch (5,000 sets) and arrange for the customer to retain visual evidence and the nonconforming samples at the destination port (sample retention costs borne by us). 3) The factory will stop production and investigate the entire production line where lot *** was produced, replace and recalibrate molds, improve coating cure parameters, and perform 100% inspection of the remaining outputs from the same batch. 4) For the customer’s order of 12,000 sets: offer two options (A: we will rework and resend 12,000 compliant sets free of charge within 30 days, covering round-trip freight and destination port re-inspection fees; B: we will fully refund the confirmed number of nonconforming units at the contract price and compensate reasonable storage and delay losses, while shipping the remaining conforming goods as planned); the customer chose Option A. 5) To prevent similar issues, both parties sign an improvement measures tracking sheet: the factory will submit weekly quality improvement reports for three months, and a third-party inspection agency (mutually appointed by both parties) will conduct pre-shipment spot checks on subsequent shipments.
After our confirmation, we will complete the retrieval of the affected inventory and initiate mold and process rectification within 10 days; within 30 days we will finish rework and ship all 12,000 replacement sets. The replacement goods shall pass third-party inspection, and we will bear the round-trip shipping costs and destination port inspection fees. The customer is satisfied with the quality of the replacement goods and waives full return and additional compensation claims. Both parties have updated the quality control provisions based on this incident (including batch traceability and third-party inspection prior to shipment) and have established a monthly quality meeting mechanism to reduce future risks.
