On 2026-02-10 the customer received 2,000 sets of flat mops (model: PF-120) shipped by our company. During inspection on arrival they found approximately 15% (300 sets) had breaks or molding defects at the mop base connection, preventing normal installation of the metal rod or causing looseness after installation. In addition, some packages contained accessories (retaining pins) whose specifications did not match the sample. The customer is a European chain distributor of cleaning supplies and requests either a return/exchange of the entire affected shipment or provision of replacement parts and compensation. Because the defective goods affected the timing of a major promotional event, the customer requires resolution within 15 working days.
After receiving the customer's complaint, our company established a special response team within 24 hours, contacted the customer to confirm the problematic lot number, photos, and sampling inspection report, and requested the customer to photograph and video the 300 affected sets and send some sample units back to our factory by courier. Our quality department inspected and determined the defects were caused by poor injection mold and material control. Considering the customer's large order volume and urgent delivery schedule, we proposed a three-pronged remedial plan to be executed in parallel: 1) Immediately ship the 1,700 qualified sets as originally planned and provide shipping inspection certification to reduce the customer's risk of stockouts; 2) For the confirmed 300 defective sets, we commit to a full refund and cover round-trip shipping costs, or—at the customer's preference—free replacement with an equal quantity of qualified products (air freight prioritized to meet timing), with double quality inspections applied to the replacement items; 3) As additional compensation, for the affected promotional batch we will provide a discount equal to 3% of the order value or equivalent complimentary goods, and conduct free sampling inspections and dedicated follow-up for the next three orders. Timeline: Confirm refund/replacement plan and complete sample return inspection within 48 hours; complete replacement and reshipment of the 300 defective sets within 7 working days (air freight prioritized); complete all compensation/discount settlement and close after-sales within 15 working days.
