The customer *** reported within two weeks after delivery that approximately 820 out of a batch of 5,000 pairs of eyeglass frames had issues such as weld fractures, temple arms bent or deformed, or severe peeling of the surface coating. During acceptance, the customer’s random inspection found an approximate defect rate of 16.4%; of these defects, weld flaws accounted for about 60%, temple dimension deviations reduced fitting/assembly rates by about 10%, and coating appearance defects affected export appearance standards, causing the entire shipment to be unable to be sent to their downstream major client as planned and risking order cancellations.

1) Immediately initiate the after-sales process: require the customer to provide the defective sample (including photos of the defective part, batch label, production lot number, and packing list). We will cover the courier costs to retrieve the sample for individual inspection. 2) Within 48 hours we will organize a quality inspection team to perform traceability analysis on the returned sample and the production records of the same batch (production time, operator, welding parameters, raw material batch number, surface treatment batch number) to confirm that the problem is concentrated on a particular production line and time period. 3) Negotiate with the customer according to contract terms: for the confirmed quality issue, we propose three remedial options for the customer to choose from — A. We will unconditionally accept return of the remaining refundable quantity at the original price and bear the return shipping and related duties; B. We will arrange re-production to replace the 820 defective pairs, complete within 30 days, and bear all re-inspection and transportation costs; C. For the remaining accepted good products the customer chooses to continue using, we will provide a proportional price discount according to the defect rate (for example, a 16.4% discount) and provide additional free goods as compensation. 4) After the customer selects option B, we will immediately stop production and rectify the relevant production line (adjust welding parameters, retrain operators, and strengthen online sampling inspections). 5) To avoid subsequent risks, all replacement goods will undergo 100% appearance and solder-joint strength testing before leaving the factory, and a third-party inspection report will be provided. 6) For demonstrable confirmed losses to the customer caused by delays, we agree to provide reasonable compensation within the contract limits and give priority scheduling for subsequent orders.
