Bulk Quality Return And Exchange Cases For Home Storage And Cleaning Products
An overseas customer (***) purchased a total of 5,000 sets of mops and accessories, 2,000 storage baskets, and 1,000 laundry bags from our company in March 2024, with a value of approximately USD 48,000. After receiving the goods, the customer conducted spot checks and found: approximately 1,200 sets of mops had loose or detached connections between the mop head and the stainless steel rod; approximately 350 storage baskets had obvious cracks on the edges; and some laundry bags had split seams. The customer raised quality objections and requested replacement or return of the defective products, while also hoping that our company would bear the return shipping costs and customs clearance fees incurred.
Our company arranged for a quality specialist to connect with the customer via video at the earliest opportunity, confirming the defective product ratio and retaining video evidence. After communication, the customer agreed to return the defective products in their original packaging to our designated overseas warehouse. Meanwhile, upon receiving the returned goods, we immediately arranged expedited production of conforming products of the same specifications and shipped them to the customer by air freight to ensure the customer's peak season sales were not interrupted. The basic freight and import customs clearance costs arising from the return were borne by our company, while the customer bore the inland transportation costs at the destination port. Both parties re-agreed on the quality inspection standards for subsequent orders, adding a third-party pre-shipment inspection step.
The customer returned all defective products within 15 days. Our company completed the replacement and shipped by air within 10 days after receiving the returns. The customer expressed satisfaction with the solution. The total value of this exchange was approximately USD 12,000, and our company bore the freight and customs clearance costs of approximately USD 3,200. Both parties continued cooperation and added a monthly quality inspection mechanism. The customer's order volume increased by 20% month-on-month.
